Aiautomatehub (“we”, “us”) respects personal data entrusted to us through aiautomatehub.digital and related enquiry channels. This Privacy Policy explains what we collect and why.

Data we collect
- Enquiry form data: name, email address, selected engagement type, optional year of assessment, and message content.
- Correspondence: emails and call notes you exchange with us.
- Technical data: limited server logs (IP address, browser type, pages visited, timestamps) and cookie-related identifiers as described in our Cookies policy.
We do not ask for Hong Kong Identity Card numbers, full bank account numbers, or complete tax return attachments through the public web form. If you paste sensitive material into the message field, we will treat it as confidential client-bound data and may ask you to use a secure channel instead.
Purposes
We use personal data to respond to enquiries, prepare estimates, perform accepted engagements, improve Site reliability, and meet legal or regulatory obligations applicable in Hong Kong.
Legal basis / voluntary provision
Providing enquiry data is voluntary, but we cannot respond without a working email and enough context to understand your request. Engagement work may require additional identity and company details under anti-money-laundering or professional standards; those will be collected under separate engagement paperwork.
Retention
Enquiry records that do not become clients are typically retained for up to 24 months, then deleted or anonymised. Client engagement files are retained for at least seven years after the engagement ends, or longer where Hong Kong tax or company law requires. Server logs are rotated on a shorter cycle (generally under 90 days) unless needed for security investigation.
Sharing
We do not sell personal data. We may share data with:
- IT and email hosting providers acting on our instructions
- Professional advisers (legal, insurance) where necessary
- Authorities when required by Hong Kong law
International transfers (for example to a cloud host outside Hong Kong) occur only with appropriate contractual safeguards and for the purposes above.
Your rights
Subject to the Personal Data (Privacy) Ordinance (Cap. 486) and other applicable law, you may request access to or correction of your personal data, and in some cases erasure or restriction. To exercise rights, email info@aiautomatehub.digital. We may need to verify your identity before responding. You may also complain to the Office of the Privacy Commissioner for Personal Data, Hong Kong.
Children
The Site is aimed at business users. We do not knowingly collect data from children under 16.
Changes
We may update this Policy by posting a revised version with a new date. Material changes will be highlighted on this page where practicable.
